When to Hire a Sydney Accountant

You do not always need an accountant on day one.

Some businesses start simply. One owner. A few invoices. Low expenses. No staff. No GST. No complicated structure. In that early stage, the owner may be able to keep records, lodge basic obligations and understand the numbers without much support.

But there is usually a point where DIY accounting stops being simple.

The signs are not always dramatic. A BAS figure starts to feel wrong. GST is being collected but not set aside. A company bank account is being used like personal money. Payroll begins with one employee and quickly becomes harder than expected. A tax bill arrives that the owner did not see coming. The reports are there, but they do not answer the question the business owner actually has.

That is usually the time to hire an accountant.

I’m Rafal Slowinski, Director of Tax Accounting Group Pty Ltd. My role is not only to prepare forms after the fact. I help Sydney business owners understand when their tax, bookkeeping, BAS, payroll, structure, or reporting has become important enough to warrant a proper review.

Hire An Accountant When The Numbers Stop Explaining The Business

The first sign is often confusion.

The business owner can see money coming in and out, but the reports do not explain what is happening.

You may be asking:

  • Why does the business show profit, but cash feels tight?
  • Why is the BAS higher than expected?
  • Why do customer invoices still show as unpaid?
  • Why does the bank balance not match the accounting file?
  • Why did the tax bill increase?
  • Why are wages rising faster than sales?
  • Why do reports from Xero, MYOB or QuickBooks not feel right?

Those questions matter because they affect decisions.

If the reports are unclear, you may delay hiring, overspend, underprice jobs, miss tax obligations, or make decisions based solely on the bank balance. An accountant can review whether the problem is bookkeeping, GST coding, payroll, cash flow, structure, tax planning or something else.

That first review can stop the owner from guessing based on unreliable numbers.

If your reports are the issue, Tax Accounting Group’s page on  financial reporting services in Sydney explains how Rafal reviews accounting reports, as well as the business decisions they need to support.

Hire Before BAS Becomes A Quarterly Panic

A BAS deadline should not feel like a rescue mission every quarter.

The ATO’s  Business Activity Statements guide explains that BAS is used to report and pay taxes, including GST and PAYG. That means the BAS depends on the records behind sales, supplier bills, GST credits, payroll and PAYG withholding.

You should consider hiring an accountant if:

  • BAS is always prepared at the last minute.
  • GST collected from customers has already been spent.
  • Supplier invoices are missing.
  • GST codes in the software are not being checked.
  • PAYG withholding does not match payroll reports.
  • Bank accounts are not reconciled before lodgement.
  • You do not understand why the BAS amount changed.
  • Previous BAS periods may have been lodged incorrectly.

An accountant can help review the activity statement before lodgement, not just lodge whatever the software produces.

If the BAS figure is already creating pressure, start with  the BAS accountant in Sydney.

Hire When GST Starts Affecting Pricing And Cash Flow

GST can become a problem before it becomes a form.

A startup may be approaching the GST threshold. A tradie may quote jobs without thinking about whether GST is included. A cafe may have mixed GST treatment across food sales. An online store may receive platform payouts net of fees. A business may treat GST as income because the full customer payment is credited to the bank account.

That is the point where advice helps.

GST can affect:

  • pricing
  • invoices
  • contracts
  • BAS
  • cash flow
  • supplier credits
  • software setup
  • customer expectations
  • record keeping

A Sydney business should not wait until a BAS is due to ask whether GST has been handled correctly. If GST changes the price or the amount of cash you can safely spend, it is time to get advice.

For transaction-specific GST questions, read more about  the GST advisor in Sydney.

Hire Before You Employ Staff

Payroll is one of the clearest signs that accounting has moved beyond simple record keeping.

Paying staff is not only a bank transfer. The business needs to properly record wages, PAYG withholding, superannuation, leave, reimbursements, allowances, and payroll liabilities. Payroll also connects to BAS, Single Touch Payroll, cash flow, staff records and year-end reporting.

You should speak to an accountant before or soon after hiring if:

  • you are employing someone for the first time
  • casual hours change each week
  • payroll is being handled manually
  • superannuation is not being tracked clearly
  • payroll reports do not match the accounting file
  • PAYG withholding is not understood
  • employee reimbursements are being coded casually
  • staff costs are growing faster than sales

The longer payroll runs incorrectly, the more cleanup may be needed later.

For support with payroll records and reporting, see  payroll services in Sydney.

Hire When The Business Structure No Longer Feels Simple

A business structure can be suitable at one stage and unsuitable at another.

A sole trader may begin with a few clients, then grow into staff, vehicles, larger contracts and higher risk. A company may be set up properly, but director payments, loans, wages and dividends may not be recorded clearly. A partnership may need clearer profit sharing and partner balances. A trust may need distribution planning and better records.

business.gov.au explains that business structures have different tax, legal and reporting obligations. Its  business structures guide is a useful starting point.

Hire an accountant when structure questions appear, such as:

  • Should I stay a sole trader or set up a company?
  • Am I taking money from the company correctly?
  • Does the trust distribution make sense?
  • Are partner drawings being recorded properly?
  • Is the structure still suitable now that the business has grown?
  • Will a new shareholder, partner or family member change the tax position?

Structure decisions can affect tax, cash flow, legal obligations, reporting and future planning. If legal advice is needed, a solicitor should also be involved, but the tax and accounting side should be reviewed before the decision is made.

A broad starting point is  accounting services in Sydney.

Hire Before A Large Purchase, Not After

A vehicle, machine, fit-out, equipment purchase, software system or business asset can affect tax, GST, depreciation and cash flow.

It is common for business owners to ask after the purchase has already happened.

That is not ideal.

Before buying, it is worth checking:

  • whether the business genuinely needs the asset
  • whether the business can afford the cash outflow
  • whether the asset is for business, private use or mixed use
  • whether GST credits may apply
  • whether depreciation or asset write-off rules are relevant
  • whether finance will affect cash flow
  • whether the timing matters before 30 June
  • whether the purchase creates a better business outcome, not just a deduction

A deduction does not make a purchase free. An accountant can help you weigh the tax benefit against the cash-flow impact before the money leaves the account.

If the decision is part of year-end planning, read more about  a tax planning accountant in Sydney.

Hire When Tax Bills Keep Surprising You

A tax bill is not always the problem. Sometimes the problem is that the business owner did not see it coming.

You may need an accountant if:

  • tax payable is higher than expected
  • PAYG instalments feel wrong
  • GST was not set aside
  • profit increased but cash did not
  • drawings or director payments were not planned
  • deductions were missed because records were poor
  • the business has no estimate before the year closes

Tax planning works best while there is still time to act.

If you wait until the tax return is being prepared, the year has already ended. Income has been earned. Expenses have been paid. Super timing may have passed. Business decisions may already be locked in.

An accountant can help estimate the likely tax position before the result becomes a surprise.

Hire When Bookkeeping Has Become A Backlog

Bookkeeping backlogs usually start small.

A few uncoded transactions. Missing receipts. Bank accounts not reconciled. Supplier bills are sitting in the email. Customer invoices not matched. A credit card account is ignored for months. Then BAS arrives, and the file is not ready.

The ATO’s  record-keeping rules for business explain that businesses must keep records of transactions relating to tax, super and registrations.

A backlog not only slows the accountant down.

It weakens the business owner’s view of the business.

Hire support when:

  • transactions are uncoded for more than a month or two
  • receipts are not being stored
  • supplier bills are missing
  • customer invoices are not matched
  • bank reconciliation is behind
  • BAS is being prepared from incomplete records
  • the owner does not know which report to trust

If the records are already behind, start with  small business bookkeeping in Sydney.

Hire When Software Is Being Used But Not Understood

Using Xero, MYOB, or QuickBooks does not automatically mean the accounting is right.

A dashboard can look clean while transactions are coded incorrectly. Bank feeds can import data, but the system still needs proper matching. Payroll can be processed, but employee setup may be wrong. GST reports can be generated, but GST codes may not match the actual transaction.

Software becomes dangerous when the owner assumes it is correct because it looks organised.

You may need an accountant if:

  • the bank balance does not match the software
  • GST reports look wrong
  • payroll reports do not match the accounts
  • old invoices remain unpaid even though customers paid
  • supplier bills are duplicated
  • bank rules are coding transactions incorrectly
  • reports do not match what is happening in the business

If Xero is the system causing the most pressure, read more about  Xero help in Sydney.

Hire When You Receive An ATO Letter

An ATO letter should not be ignored, but it also should not be responded to in a panic.

The right response depends on what the ATO is asking. It may relate to BAS, GST, PAYG, income, deductions, super, tax returns, overdue lodgements, foreign income, contractor payments or business records.

Before responding, gather the evidence.

That may include:

  • the ATO letter
  • tax returns
  • BAS lodgements
  • GST reports
  • payroll reports
  • bank records
  • invoices
  • receipts
  • accounting software access
  • prior correspondence
  • notes explaining the transaction or period involved

An accountant can help identify what the ATO is asking, which records are relevant, and whether a correction, explanation, or further review is needed.

This is one of those moments where guessing can make the situation harder.

Hire When You Are Starting A Business With Real Costs

A new business may not need complex accounting immediately, but it does need clean early decisions.

A Sydney startup or new business owner should speak to an accountant when:

  • the first invoice is about to be issued
  • GST turnover may grow quickly
  • startup costs were paid personally
  • a company structure is being considered
  • a co-founder or partner is involved
  • software needs to be set up
  • the business may hire staff
  • stock, equipment or contractors are involved
  • the founder is unsure how money going into the business should be recorded

The first year becomes much harder if founder loans, reimbursements, GST, BAS, invoices and structure are not handled properly from the beginning.

For early setup questions, see  accountants for startups in Sydney.

Hire When You Need More Than Lodgement

Some business owners only speak to an accountant once a year.

That may be enough for a simple situation. It is usually not enough when the business has GST, BAS, payroll, staff, company structure, cash-flow pressure, asset purchases, ATO questions, or growth decisions.

You need more than lodgement when you want to understand:

  • what the numbers mean
  • why tax is payable
  • whether deductions are supported
  • how BAS connects to cash flow
  • whether payroll is being recorded correctly
  • whether company money and personal money are separated
  • whether the business can afford a decision
  • whether the structure still fits

This is where Rafal’s background in accounting and tax law matters. The answer is rarely just one form. It usually sits across tax, records, timing, structure and business reality.

Check Registration When Tax Work Is Involved

If someone is preparing and lodging tax returns or providing tax agent services for a fee, registration matters.

The ATO explains that tax agents must be registered with the Tax Practitioners Board. You can read the official ATO guidance here:  Lodge with a registered tax agent.

You can also use the  Tax Practitioners Board public register to check whether a tax or BAS agent is registered.

This matters because accounting advice should be handled through the right professional framework, especially when tax returns, BAS, GST, PAYG and business lodgements are involved.

A Quick Decision Guide

It may be time to hire a Sydney accountant if any of these are true:

  • You are registered for GST or approaching the GST threshold.
  • BAS is becoming stressful.
  • You have employees or are about to hire.
  • Bookkeeping is behind.
  • Reports do not make sense.
  • You use accounting software but do not trust the numbers.
  • You are buying equipment, vehicles or business assets.
  • You are moving from a sole trader to a company.
  • You are receiving ATO letters.
  • Tax bills keep surprising you.
  • Business and personal spending are mixed.
  • You are growing, but cash feels tighter.
  • You need advice before a decision, not after it.

The right time is usually before the issue becomes urgent.

Start With The One Thing That Feels Unclear

You do not need to know the service name before asking for help.

Start with the problem.

It might be BAS, GST, bookkeeping, payroll, tax planning, business structure, Xero, cash flow, a tax bill, an ATO letter or a return that needs to be lodged properly.

Send Rafal the issue that is creating pressure, and he can help identify what needs to be reviewed first.

You can also start with the Tax Accounting Group’s main  accounting services in Sydney page if the issue touches more than one area.
