You finish a job and move to the next one. You pay a supplier from the phone. You buy fuel, tools, stock, software or materials while doing other things. You receive invoices through email, text, accounting software and paper statements. A few transactions wait for later, and later turns into the next BAS period.

By the time the file needs attention, the detail is scattered.

The entries need to make sense inside the accounting system. Income should be recorded where it belongs. Expenses should be coded with enough detail. GST treatment should be considered. That does not automatically tell us whether the cost was materials, equipment, software, GST-free, partly private, a loan repayment, a tax payment or something that needs supporting evidence.

Guessing from the bank description can create incorrect reports.

A small entry can look harmless until it affects GST, deductions, profit or cash flow.

Catching Up Without Turning It Into A Bigger Cleanup

When data entry is behind, the work should be handled in a sensible order.

Recent BAS periods may need attention first. Supplier bills may need to be entered before payments can be matched. Customer invoices may need to be recreated before receivables make sense. Expense records may need to be sorted before deductions can be reviewed.

The aim is to move from scattered source documents to a readable accounting file.

Once the data is entered properly, the next step becomes easier. Reconciliation is cleaner. BAS review is clearer. Reports become more useful. Tax preparation has better support.
